Instructions for the Event Editor
Hint: Print a copy of this page and keep it for reference.
Events: An event can have the following
20 possible parts (known as fields)
- 3 required:
- Type.
- Title. Title of the event or talk (not of the speaker).
- Date. The date of the event, not today's date.
- 11 other basic:
- Speaker. This can be the moderator, discussion leader, or other person in charge.
- Affiliation. Speaker's institution.
- Time. Time of the start of the event.
- Duration. For single-day events.
- End date. For multi-day events such as exhibits.
- Location. Use supporting pages and lines belowfor location details.
- Social activity. Refreshments or reception, with time.
- Up to 16 Location details & supporting lines.
- Change notice, for events that are rescheduled, postponed, or cancelled.
- Up to 5 supporting pages with further information.
- Expert Mode, if some fields are HTML rather than plain text.
- 6 advanced:
- Setup time.
- Cleanup time.
- Instructions, e.g., room configuration.
- Contact person.
- Comment.
- Lock, to prevent unauthorized changes to an event.

To add a new event:
- You are now on the Start Page.
- Click on the New Event button above. You will get the Edit Page,
a blank editing form with the required fields and the
other basic fields.
- Fill out the fields of the Edit Page. If the information for a supporting page
is not available you can still enter what you have, and come back later to add the
supporting page. If you need one of the advanced fields, click on
the expanded Edit Page button.
- Click on the Preview button on the Edit Page. You will see your event
on the Preview Page. If you are not satisfied, use the
back button on your Web browser to return to the Edit Page.
- When you are satisfied, click on the Submit button on the Preview Page.
To edit an existing event or add a supporting page:
- You are now on the Start Page.
- Choose the month and year of the existing event.
- Click on the Edit an event button.
You will get the Select Page listing the known events for that month and, if there is room, some from later months.
- Select the event you want to edit by using its Edit button.
You will get the Edit Page with the existing information already entered.
- Edit the fields. If you need an advanced field not shown, click on the
expanded Edit Page button.
- You can use a “change notice” to call attention to the change.
- Click on the Preview button on the Edit Page. You will see your event
on the Preview Page. If you are not satisfied,
use the back button on your Web browser to return to the Edit Page.
- When you are satisfied, click on the Submit button on the Preview Page.
To create a new event by starting with a copy of an existing event:
- You are now on the Start Page.
- Choose the month and year of the existing event.
- Click on the Edit a copy of an event button.
You will get the Select Page listing the known events for that month and, if there is room, some from later months.
- Select the event you want to copy by using its Edit a copy button.
You will get the Edit Page with the existing information already entered.
- Edit the fields. If you need an advanced field not shown, click on the
expanded Edit Page button.
- Click on the Preview button on the Edit Page. You will see your event
on the Preview Page. If you are not satisfied,
use the back button on your Web browser to return to the Edit Page.
- When you are satisfied, click on the Submit button on the Preview Page.
To delete an existing event:
Do not delete an event simply because it is old or past. The event should
remain in the archive for future reference. The normal calendar display uses
a movable window so that events from the past are not displayed unless requested.
- You are now on the Start Page.
- Choose the month and year of the existing event.
- Click on the Delete an event button.
You will get the Select Page listing the known events for that month and, if there is room, some from later months.
- Select the event you want to delete by using its Delete
button. You will see the event on the Preview Page.
- Confirm you want to delete it by clicking on the Confirm button on the
Preview Page.
